What is the difference between a Billing Contact and an Ambassador?
The Billing Contact’s only obligation each year is to receive and pay their annual OAUG membership dues invoice. The Ambassador inherits the ability to vote on behalf of your organization, edit your contacts list (deactivating previous employees and adding new ones who need access to OAUG resources). Ambassadors are obligated to review and/or update their contacts list twice a year in addition to attending two 30-minute Informational Webinars per year on membership benefits. Finally, the Ambassador will send a Benefits Reminder & Update email to all of your contacts (a message provided by the OAUG) in order to ensure your colleagues are up to date on all of the free and discounted resources available to them through their OAUG membership.
I used to be the Key Contact for my organization. Why can’t I edit my list of contacts anymore?
All previous Key Contacts automatically became the Billing Contact on February 1. If you would like to maintain administrative access to your contacts list, you must volunteer to be the Ambassador. A list of Ambassador obligations can be found here. To determine whether someone already volunteered as your organization’s Ambassador, log in to My OAUG Profile at the top right of oaug.org and look at the top left of the administration page. Your Ambassador status/name will appear there.
How do I edit my organization's list of contacts?
▪ Click My OAUG Profile at the top right of oaug.org and log in.
▪ Select “Edit Contacts” once logged in.
▪ If you see any individuals who are no longer employees of your organization, click the “D” next to their profile to Deactivate them, or notify membership@oaug.com.
▪ If you see that one or more individuals who ARE current employees at your organization do not have profiles, you have three options:
1. Click “Add Contact” at the bottom of the list and follow the prompts to create a profile for each person.
2. Advise your colleagues to visit My OAUG Profile at the top right of oaug.org, select “No, I need to create a new profile” and follow the prompts to create their own profiles.
3. Provide your colleagues’ names and email addresses to membership@oaug.com.
How do I make someone else the Billing Contact?
If you are the current Billing Contact, you can log in to My OAUG Profile at the top right of oaug.org and select Edit Contacts. Find the contact you wish to designate as the new Billing Contact and click the “MBC” (Make Billing Contact) button to the left of their name. If you are not the current Billing Contact, contact membership@oaug.com and provide the new contact’s name and email address. OAUG staff will notify the existing Billing Contact of this change.
I volunteered to be the Ambassador but there is someone better suited for this role. How do I designate them as our new Ambassador?
Log in to My OAUG Profile at the top right of oaug.org and select Edit Contacts. Find the contact you wish to designate as the Ambassador and click the “MA” (Make Ambassador” button to the left of their name. If the contact does not have a profile, select Add Contact at the bottom of the screen and complete the form, or contact membership@oaug.com for assistance.
How do I register for one of the Informational Webinars?
OAUG staff will provide registration links via email at least three weeks in advance. The webinars are scheduled for April 23, June 19, September 18 and December 4. The April 23 Ambassador Informational Meeting took place during COLLABORATE 12 and via webinar. The June 19, September 18 and December 4 webinars will be offered online only at 11:00 am and 4:00 pm EDT. The June 19 webinar registration is now open for both 11:00 am EDT and 4:00 pm EDT.
I cannot attend one of the Informational Webinars. Can someone else at my organization attend in my absence?
Although the Informational Webinars are not limited to Ambassadors, Ambassadors are required to personally attend at least two webinars by December 31, 2012 in order to remain an Ambassador and to be eligible to win a full conference pass to the event of your choice.
