1. Assignment of Exhibit Space or Stand
Each potential exhibitor is required to mail or fax an application, with full payment, to arrive no later than 09 October 2000. Applications that do not include full payment will not be considered. Receipt of the application does not guarantee a space or stand, so please mail or fax in a timely manner.
Assignment of space or stand at the Europe 2001 Conference will be based on a merit point system. Merit points are awarded based on exhibit history and membership participation -- two points for each conference exhibited (USA, Europe, and Asia Pacific) since 1995, and one point for each annual non-user membership since 1995. When the application has been processed, the exhibit contact listed on the application will be notified via email with a password and instructions for access to the on-line space or stand selection Web page. Your password will give access for a limited time to the Web page. You must select your space or stand within the stated time period. Each company will be able to select the space or stand of its choice, based on availability, via the Web.
2. Contract for Exhibit Space or Stand
The application for a space or stand, the formal approval by OAUG to exhibit the products/services listed on the application, the notification of space or stand assignment by the Exhibit Manager, and the full payment of exhibit fees together constitute a contract. OAUG has the right to approve/disapprove applications, to assign an exhibit space or stand, and to approve all demonstrations, exhibits, or promotions to be presented at the OAUG Europe 2001 Conference.
3. Exhibit Space or Stand Rental & Payment
All spaces and stands are 3m x 3m. Exhibitors may purchase up to two, side by side. Refer
to the application for rates. Full payment is required at time of application for a space or stand. The OAUG accepts cheques, Visa®, Master-Card®, American Express®, Diners Club®, and electronic funds transfers.
4. Exhibit Package
Each exhibitor is furnished a space or a stand with shell scheme and fascia, one 220v electrical hook-up, one wastebasket, nightly cleaning, two complimentary exhibit staff passes, a link to the exhibitor's Web page from www.oaug.org, and a feature in our final agenda.

6. Compliance with Schedule
All exhibits must be installed during the time designated. Exhibit staff must be in charge of the display during the hours when the exhibit area is open. Each exhibitor agrees to maintain the exhibit through all exhibition hours as stated.
7. Exhibitor Registration
All persons working in the exhibit area must be registered as exhibit staff or conference delegates and be at least 18 years of age. No one will be admitted to the exhibit area without a badge. Exhibit fees include exhibit hall access only and food and beverage functions for two exhibit staff registrations per 3m x 3m space or stand. Exhibit staff wishing to attend conference sessions must be registered as conference delegates.
8. Exhibitor Services
An exhibitor manual will be forwarded to you eight weeks before the conference. The manual will contain information regarding staff registration, shipping, and order forms for services, such as electrical, telephone, and computer rental.
9. Cancellation or Reduction in Size of Exhibit Space or Stand
Cancellation 90 days or more ahead of exhibit hall opening will result in a 50% refund. Cancellation fewer than 90 days from exhibit hall opening will result in no refund. This also applies to reduction in space or stand size.
10. Subletting of Exhibit Space or Stand
No exhibitor may reassign or sublet any portion of the stand allocated to it for any products and/or services other than those produced or distributed by the exhibitor in the regular course of business. The sharing of a space, stand, or signage is strictly prohibited.
11. Demonstrations & Distribution of Samples & Brochures
All demonstrations, distributions of circulars, entertainment, promotional materials, samples, souvenirs, etc. must be confined to the limits of exhibitor's stand. Materials must not mention employment opportunities or recruiting information. Badge holders may not be distributed.
12. Audio Devices
Exhibits that include the operation of musical equipment, entertainment, radios, sound motion picture equipment, public address systems, or any noise-making machines must be operated so that the resulting noise will not annoy or disturb adjacent exhibitors and their patrons and must be approved by the Exhibit Hall Manager.
13. Security
Security will be provided during installation, exhibition, and dismantling hours, as well as when the exhibits are closed to delegates.
14. General Restrictions
OAUG reserves the right, without recourse, to absolutely control or prohibit any exhibit or part of any exhibit which, in OAUG's opinion, is not suitable or in keeping with the character of the exhibition.
15. Competitive Products
The OAUG maintains exhibitors cannot exhibit or display any products or services that are
in direct competition with Oracle Applications products.
16. Liability
Exhibitors agree to protect, save, and hold OAUG, Meeting Expectations, the Palexpo Exhibition & Conference Centre, GES, and all agents and employees thereof (collectively called Indemnities) forever harmless for any damages or charges imposed for violations of any law or ordinance, whether occasioned by the negligence of the exhibitors or holding under the exhibitors. Furthermore, exhibitors shall at all times protect, indemnify, save, and hold harmless the Indemnities against and from any and all losses, costs (including attorneys' fees), damages, liabilities, and/or expenses arising from or out of any accident or bodily injury or other occurrence to any person or
persons, including the exhibitor, its agents, employees, and business guests, which arise from, out of, or by reason of said exhibitor's occupancy and use of all or part of the exhibition premises.
17. Fire Protection
All display material must be flameproof and is subject to inspection. No flammable fluids
or substances may be used or shown in the exhibit hall.
18. Call for Papers
We invite you to submit a paper for presentation at the conference.
